Send one order to accounting

Illustrative, not a client system
  1. Event received

    New order from the store

    Done

  2. Checked

Required fields and tax code are valid

    Done

  3. Sent

    Invoice created in accounting

    Done

  4. Recorded

Invoice number saved on the order

What the log records

One order, one invoice, and a reference on each side.

Staff copy data between tools, reports disagree, a no-code automation has become critical without anyone monitoring it, or a new channel means more manual work.

What we need from you

  • A list of your systems and who owns each
  • API access or admin accounts, with test environments where available
  • Examples of the data that moves today
  • Who should be told when something fails

What happens to one event

A connection is designed for its bad days. Each event follows the same controlled path.

Illustrative diagram
  1. Event

A new order, deal or update arrives

  2. Validate

Required fields and formats are checked

  3. Map

Fields are translated for the target system

  4. Deliver

Sent with a unique reference, so retries can't duplicate it

  5. Record

The result and reference are logged on both sides

  6. Exception path

    Delivery fails

Retries with a limit, then alerts a named person

A growing services firm connecting sales and finance

Illustrative scenario · not a client case study

Before

  • Won deals retyped into accounting
  • Customer details differ between systems
  • A failed automation goes unnoticed for days

After

  • Goal: a won deal creates its invoice draft automatically
  • Goal: one system owns each customer record
  • Goal: any failure alerts a named person the same day

Common connections

Typical work includes tools such as HubSpot, Zoho, Salesforce, Odoo, Shopify, Xero and QuickBooks. What's possible depends on each system's API and plan.

  1. CRM and website

Enquiries reach the CRM with their source and consent, and duplicates are matched before a record is created.

  2. Store and ERP

Orders, stock and prices stay in step, with one system clearly in charge of each.

  3. Sales and accounting

Closed deals or paid orders become invoices without being typed in again.

  4. Data to dashboards

Scheduled syncs bring figures from several systems into one reporting view.

  5. Custom API

A documented API that lets your systems or partners exchange data securely.

How we approach it

  1. 1Map
  2. 2Confirm access
  3. 3Design
  4. 4Build
  5. 5Test failures
  6. 6Monitor

What we test before go-live

  • Normal flows, using test accounts wherever a vendor provides them
  • A target system that's slow or unavailable
  • The same event arriving twice
  • Missing or invalid data
  • Expired credentials and permission errors
  • Alerts reaching the person who needs to act

Questions we're often asked

Why not use Zapier or Make?

They're often the right choice for simple, low-risk flows, and we'll say so. Custom integration earns its cost when volume, data rules or the cost of a silent failure are high.

What if one system has no API?

We look at the alternatives: file exports, database access, webhooks or a supported connector. Sometimes the honest answer is that a system needs replacing or a manual step should stay.

How do we know when something fails?

Each integration logs what it did, retries when it's safe to and alerts a named person when it can't continue.

Who looks after an integration once it's live?

Vendors change their APIs, so integrations need occasional attention. We hand over documentation for your team, and ongoing monitoring can be agreed separately.
